Job Summary
The iMullar is the definitive voice of emerging African music, promoting the
culture through content, partnerships and live events. As the company enters a
period of rapid growth, we are elevating our team to see us through this exciting
transition. A key role to guarantee our success is that of a skilled and dedicated
Executive Assistant to the Founder. The Executive Assistant will be responsible for
creating the ease and efficiency needed for the Founder and his team to thrive.
Responsibilities
Managing the Founder’s calendar and schedule: This includes scheduling
meetings, appointments, and both domestic and international travel.
Handling correspondence: This includes fielding and responding to emails,
WhatsApp messages, phone calls and social media messages in a timely and
professional manner.
Supporting with marketing tasks: This includes preparing well-structured,
visually appealing pitch decks and other marketing materials.
Meetings management: This includes preparing agendas, handouts,
research and anything needed for meetings, and taking and distributing
meeting minutes.
Organising travel and logistics: This includes booking flights, hotels, and
transportation, and ensuring everyone is aware of travel arrangements well
in advance.
Providing administrative support: This includes managing files, ordering
supplies, and being on-hand to support teams across iMullar where needed.
Acting as a liaison: This includes representing the Founder to other
employees, clients, and vendors, and representing the iMullar brand in all
external interactions.
Overseeing projects: This includes tracking progress, managing deadlines,
and resolving issues.
Managing personal tasks: This includes managing the Founder’s personal
diary, travel and bookings
Skills Required
Time and diary management: You must have impeccable time management
and the ability to manage often conflicting priorities.
Communication skills: You must be able to communicate clearly,
confidently and respectfully with everyone from local workers to
international C-Suite executives.
Confidentiality and discretion: You must have the ability to handle
confidential and sensitive information with the utmost discretion and
maintain the highest standards of professionalism and confidentiality.
Assertive approach: You must have the ability to speak up, share your views
and be assertive.
Proactive and problem solving nature: You must be able to anticipate the
needs of the Founder and proactively provide support and assistance as
required.
Flexibility and adaptability: This role can involve short deadlines, anti-
social hours and last-minute changes. You must have the ability to adjust and
adapt within reason.
Independent working: You must have the ability to identify and manage
your workload independently with minimal support or supervision
Skills Desired / To Be Taught
Basic presentation skills: This includes using tools such as Canva to design
pitch decks and other marketing collateral.
Knowledge of / passion for African music: As a representative of iMullar, it is
important that you are aligned with its mission.
Knowledge of productivity and scheduling apps: This includes using tools
such as Google Suite and Calendly.
